Real Estate Admin
This individual will be responsible for daily maintenance and operations of our Broker Headquarters at 592 N Benjamin Ln in Boise. In addition to receptionist duties, the candidate will be expected to perform part-time Transaction Coordinator duties, as applicable. You will be expected to be an expert at all systems, equipment, processes, and procedures which are necessary to keep the office running smoothly and agents/clients getting the professional level of service which they expect and to which they are entitled. Reports To: Operations Manager; Transaction Manager

Responsibilities:
 Be the first and last person guests see- make it memorable!
 Office atmosphere management (music, refreshments, ENERGY)
 Provide drinks (coffee, water, soda) for guests/clients; stock coffee, snacks, and all other office supplies
 Basic cleaning and maintenance of office – tidy café area, empty trash/dishwasher, check restrooms for general upkeep, organize and sort, etc.
 Manage office store (signs, flyer boxes, marketing collateral, documents, etc), Closing Room calendar, Training Room calendar, and office calendar.
 Expert knowledge of office equipment including: printer/scanner, display monitors & associated equipment, wireless network, office phone system (management of calls), etc.
 Marketing activities as directed, including but not limited to: social media, email, telephone solicitation, face to face solicitation, database management, campaign management, and the creation of basic marketing collateral.
 Obtain a public notary license in Idaho, within 6 months of employment; cost to be borne by Amherst Madison.
 Event hosting, preparation, and takedown within the downtown office.
 Act as a liaison between clients and agents
 Manage contract to close process
 Coordinate title/escrow, mortgage loan and appraisal processes.
 Submit all necessary documentation for file compliance, ensuring all signatures and initials required are present
 Regularly update and maintain communication with clients, agents, title officer, lender etc.
 Follow up with the escrow or title company on closing day

Qualifications:

 Must have reception/administrative experience
 Knowledge/experience in real estate transactions, documents and procedures desired but not necessary
 Flexible in daily routine; ability to prioritize and manage shifting responsibilities
 Ability to assess, prioritize and act quickly
 Learning based and solution oriented
 Deadline driven and extremely organized
 Have excellent attention to detail and high-level accuracy with document
 Excellent customer service and interpersonal skills; can empathize building client relationships
 Strong computer skills, able to learn new programs quickly: Windows based PC programs; (i.e. OneNote, Excel, Word, Outlook, and Google Docs).
 Maintains a professional, positive image at all times.
 Excellent time management skills, and attention to detail
 Ability to parallel-process multiple projects at one time.
 Willingness to learn about and assist in paperwork of real estate transaction

Job Type: Full-time, Monday-Friday, 9:00am-5:00pm (1-hour lunch)
Compensation: $35,000 + Bonuses for transactions
